Operations Coordinator
Status : Permanent, Full-Time
Work schedule : 8am to 4:30pm (day shifts)
**Candidates must be able to work overtime during the peak season
Place of Work: 263 Edwards St, St Thomas, Ontario.
We are seeking a highly organized and proactive Operations Coordinator to join our team. The Operations Coordinator will be responsible for ensuring efficient terminal operations, managing inventories, maintaining accurate records, and providing support to both internal staff and customers.
This role requires an individual capable of working independently in the absence of the manager and overseeing a variety of responsibilities with precision and efficiency.
THE CHALLENGES WE PROPOSE
- Monitor and report daily production totals;
- Fill out and submit timecards;
- Code invoices for payment & track payments to account for monthly accruals;
- Prepare scale account invoices;
- Answer phone calls and oversee all inquiries;
- Be responsible for petty cash and stamp funds;
- Record daily equipment inspections and call for service if needed;
- Assist in the creation and management of spreadsheets using Microsoft Excel;
- Implement an e-filing system to keep all files current and organized using a shared drive;
- Maintain a clean and clutter-free work area & coordinate with outside cleaning contractor;
- Train temporary employees, as necessary;
- Provide managers with data entry and any other administrative tasks, as necessary;
- Maintain inventory records for shipping and receiving;
- Prepare bills of lading in our system;
- Provide inventory, adjustments, and month-end reports;
- Prepare custom documents for various commodities and clear railcars;
- Learn and navigate our ERP system to become a super user, with the ability to train others;
- Enter release numbers provided by drivers into our ERP system and complete bill of lading information;
- Coordinate after-hour loads with the commercial team;
- Collaborate with the railroad to schedule rail car entries and exits;
- Deal with customers to ensure product flow by assisting with truck pick-ups.

- Excellent communication and customer service skills;
- Proficiency in Microsoft Office (Excel);
- Experience with Navision or similar ERP software;
- Ability to work independently and make decisions in the absence of a manager;
- Meticulousness and precision in all tasks;
- Ability to work and be willing to work according to customer needs during peak periods.
